The Power of Partnership: EEG, Destination Asia & The Apurva Kempinski Bali

Guests experience one seamless event. Behind the scenes, it takes hundreds of people moving in perfect sync to make that happen.
Spectacular venues, bucket-list destinations, and unforgettable experiences may be what attendees remember, but none of them happen in isolation. The most successful global programs are the result of an event agency, destination management company, and hospitality partner working as one unified team, each bringing unique expertise while sharing ownership of the attendee experience.
Veeam VX in Bali was a powerful reminder of what’s possible when those partnerships work seamlessly together. Through EEG’s collaboration with Destination Asia and The Apurva Kempinski Bali, we saw firsthand how trust, communication, and shared vision transformed an ambitious international program into an experience worthy of recognition – including our recent submission for two SITE Crystal Awards, with more to come on that soon.
Shared Ownership Creates Extraordinary Experiences
When planning an international event, it’s easy to think of each partner as owning a separate piece of the experience. The event agency manages the strategy and production. The DMC handles local logistics. The hotel delivers hospitality.
In reality, the most successful programs blur those lines.
As Destination Asia shared with us, “A strong partnership between a DMC and an event agency isn’t just collaboration – it’s co-ownership of the experience.”
That philosophy became evident from the earliest planning stages. Through months of collaborative planning, transparent communication, and shared accountability, our teams worked together to ensure every creative vision could be authentically and seamlessly brought to life.
The same mindset was echoed by The Apurva Kempinski Bali.
“Even though EEG and Apurva Kempinski came from different organizations with different reporting lines, the two teams consistently presented and operated as one unified team.”
That level of trust doesn’t happen by accident. It requires open communication, clearly defined ownership, and a willingness to solve challenges together rather than independently.
The Destination Should Become Part of the Story
One perspective from Destination Asia reinforced something we’ve long believed:
“The destination should never simply serve as the backdrop for an event. It should become part of the story.”
Rather than treating Bali as simply the location for Veeam VX, the experience was intentionally designed around its people, traditions, and culture.
Traditional welcome rituals, immersive local performances, authentic culinary experiences, and thoughtfully integrated Balinese design allowed attendees to experience the destination in meaningful ways instead of simply visiting it.
The Apurva Kempinski Bali shared a similar philosophy.
Rather than introducing local culture through a single activity, the property wove Indonesian heritage throughout the guest experience – from architecture and craftsmanship to locally inspired cuisine, cultural performances, personalized Endek gifts, and meaningful moments that reflected the spirit of Bali.
When every partner embraces the destination as part of the experience, attendees leave with more than memories of an event, they leave with a genuine connection to the place itself.

Behind Every Seamless Experience Is an Extraordinary Amount of Coordination
For attendees, the best events feel effortless.
Behind the scenes, they’re anything but.
Programs of this scale require months of preparation, dedicated points of contact across every function, and constant communication before and during the event.
For Veeam VX, planning began nearly eight months in advance, with weekly planning meetings followed by daily operational meetings once the program was onsite.
Every EEG department – from production and logistics to attendee experience – had a dedicated counterpart at the hotel, allowing information to move quickly without bottlenecks and ensuring decisions could be made in real time.
As The Apurva Kempinski Bali shared, “There is simply no room for assumptions when you’re coordinating hundreds of moving parts.”
That alignment allowed both teams to remain agile, solve challenges before guests ever noticed them, and maintain a consistently elevated experience throughout the program.

The Guest Experience Starts Long Before Check-In
One of the strongest themes that emerged from conversations with both Destination Asia and Kempinski was that memorable events begin long before attendees arrive at their first session.
Airport arrivals, transportation, personalized room amenities, dietary preferences, family accommodations, wellness offerings, and thoughtful welcome moments all contribute to the overall experience.
As Kempinski explained:
“What separates a well-executed event from an exceptional one is really the entire guest journey – not just the moments inside the hotel.”
That philosophy reinforces something we believe at EEG: every touchpoint matters.
When every partner is aligned around creating a seamless guest journey – from arrival to departure – attendees aren’t thinking about logistics. They’re fully immersed in the experience.
Innovation Happens When Great Partners Trust Each Other
One of the most rewarding aspects of Veeam VX was watching ambitious ideas become reality because every partner approached challenges with creativity instead of limitations.
Whether it was creating entirely new food and beverage experiences, transforming resort spaces into immersive event environments, constructing a dedicated pickleball court, coordinating world-class entertainment, or designing personalized cultural experiences, success came from asking, “How can we make this happen?” instead of accepting the first limitation as the final answer.
That willingness to innovate was only possible because trust had already been established between every team involved.
When agencies, hotels, and destination partners move beyond a vendor relationship and become true collaborators, they create space for bigger ideas… and better experiences.
Looking Ahead
If Veeam VX reinforced anything, it’s that exceptional international events are never the work of a single organization.
They’re the result of strong partnerships built on trust, communication, shared ownership, and a commitment to creating experiences that feel effortless for attendees while requiring extraordinary collaboration behind the scenes.
As attendee expectations continue to evolve, the relationships between event agencies, destination management companies, and hospitality partners will only become more important.
We’re excited to continue building on that collaboration with Destination Asia and The Apurva Kempinski Bali later this year as we partner once again in Thailand.
Because when global vision, local expertise, and world-class hospitality come together as one team, the result is more than a successful event.
It’s an experience that stays with people long after they’ve returned home.
